Duties

Job Overview:

The Shipment Assistant supports the General Services Office (GSO) at the U.S. Embassy Vientiane. The main responsibility is to coordinate and manage the shipment of goods and personal effects for U.S. government employees and their families. This includes handling both incoming and outgoing shipments, ensuring compliance with regulations, and providing customer service throughout the shipping process.

Major Duties and Responsibilities:

– Coordinate the shipment of personal and official goods for U.S. government staff, including household effects, vehicles, and supplies.

– Prepare and process shipping documents, ensuring all paperwork is accurate and meets U.S. government and host country requirements.

– Track shipments and keep customers informed about the status of their goods.

– Work with shipping companies, customs officials, and other partners to resolve issues and ensure timely delivery.

– Advise customers on shipping procedures, restrictions, and timelines.

– Maintain records of all shipments and related correspondence.

– Support the GSO team with other administrative tasks as needed.

This position requires strong organizational skills, attention to detail, and the ability to communicate clearly with customers and partners. The Shipment Assistant plays a key role in ensuring the smooth movement of goods for U.S. government operations in the region.

Qualifications and Evaluations

Requirements:

All selected candidates must be able to obtain and hold a security certificate.

All selected candidates will be subject to a background investigation. Selected candidate must be able to begin working within a reasonable period of time upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Qualifications:

FOR THE EXPERIENCE AND EDUCATION REQUIREMENTS, APPLICANTS MUST MEET EITHER OPTION 1, OPTION 2 OR OPTION 3: 

OPTION 1: 

  •      EXPERIENCE: Minimum four (4) years of experience in the field of international customs, shipping, logistics, or transportation is required.
  •      EDUCATION: Completion of secondary school is required. (ຈົບການສຶກສາຂັ້ນມັດທະຍົມຕອນປາຍ).

OPTION 2: 

  •      EXPERIENCE: Minimum seven (7) years of experience in the field of international customs, shipping, logistics, or transportation is required.
  •     EDUCATION: Completion of middle school is required. (ຈົບການສຶກສາຂັ້ນມັດທະຍົມຕອນຕົ້ນ).

OPTION 3: 

  •      EDUCATION: Minimum eleven (11) years of experience in the field of international customs, shipping, logistics, or transportation is required.
  •    EDUCATION: Completion of primary school is required. (ຈົບການສຶກສາຂັ້ນປະຖົມ).

OTHER REQUIREMENT:

Must have had a driver’s license for the class of vehicle(s) they are assigned or authorized to drive (Cat. B) for a minimum of 5 years. 

Any applicant who possesses a valid driver’s license issued less than 5 years ago will not be considered. The license must have been held for at least five years as of the vacancy closing date.

If the applicant has renewed their driver’s license, they must include copies of both the old and current licenses to allow HR to confirm the original issuance date. Applications that do not include both the old and renewed driver’s licenses (if applicable) will not be considered.     • Current employees who used a hiring preference to gain employment who are within their first 90 calendar days of employment are not eligible. This does not apply when the hiring mechanism is TEMP or the work schedule is intermittent or irregular.
    • Candidates with a hiring preference who have already accepted a conditional offer of employment may NOT be extended a second conditional offer of employment unless and until they withdraw their candidacy for the first position in writing.

The following apply to Locally Employed (LE) staff only:
